Everything in the app

Every feature, in one place.

From draft invoices to paid status, overtime approvals, exports, and company settings — this is the full QuickBill surface.

Employee Portal

Support members generate and submit their own monthly invoices.

Auto-drafted invoices

A draft is created for the current billing period as soon as you sign in — no blank form to start from.

Profile-sourced details

Legal name, address, and bank details are read-only and pulled from your Agents Only account.

Sequential numbering

Invoice numbers follow AO-INV-{MemberID}-{YYYYMM}-{seq} so Accounting can reconcile without collisions.

Billing & payment dates

Billing period, billing date, and payment date are detected from company rules — not typed by hand.

Confidential own rate

You only ever see your own contracted base and OT rates. Supervisors and Accounting never see other members' contract rates.

Profile completeness gate

Missing address or bank fields block submit until the profile is complete.

Overtime requests

Request OT with work date, hours, and reason. It must be approved before it can appear on an invoice.

Approved OT on the invoice

Approved overtime lines sync onto the invoice automatically, with hours and amounts calculated from your OT rate.

PDF preview & download

Download a print-ready PDF generated with Dompdf, matching the on-screen invoice.

Validated one-click submit

Submit only after validation passes and you confirm the details. The invoice routes to your supervisor or Admin.

Employee dashboard

See current period, days until due, approved invoices, pending OT, and profile status at a glance.

Notifications

Get notified on approvals, rejections, missing-invoice reminders, and status changes — mark all as read anytime.

Approvals & invoice workflow

Supervisors and Admins review work before Accounting pays.

OT approval queue

Approvers see pending overtime for their direct reports; Admins see every pending request.

Team invoices

Supervisors review team invoices for the billing period without leaving their portal.

Team members

Supervisors browse their roster; Admins can open the full member directory.

In-app PDF preview

Open any eligible invoice in a modal, then download, approve, or reject without changing pages.

Approve invoices

Submitted invoices can be approved and marked Received, with the action recorded on the invoice.

Reject with comments

Send an invoice back with a reason so the member can correct it and resubmit.

Missing-invoice reminders

Admins and supervisors can notify members who have not created an invoice for the period.

Submission tracking

The monthly dashboard counts submitted, approved, rejected, draft, and missing invoices plus period totals.

Accounting

Accounting works only with approved invoices — Received and Paid.

Approved invoice registry

Accounting sees Received and Paid invoices for the selected period, with base, OT, and totals.

Mark as Paid

Record payment on an approved invoice when funds have gone out.

CSV export

Download invoice data as CSV for reconciliation, scoped to the billing period.

Bulk PDF download

Download a zip of PDFs for the period’s eligible invoices in one action.

Totals only

Accounting works from submitted invoice totals — not individual contract rates.

Admin operations

Full control of people, rates, company identity, and billing rules.

User directory

Browse support members, approvers, and administrative accounts with member ID, superior, and active status.

User activity logs

Sign-in and sign-out activity across all accounts, for operational visibility.

Company bill-to

Set company name and bill-to address used on every invoice.

Billing date rules

Fixed-day or specific-date billing rules, with an upcoming invoice date preview.

Payment date rules

Last-Wednesday or specific-date payment rules, including per-period overrides.

Invoice email routing

Configure submission and approval inboxes, plus whether members receive a copy on submit.

Google Sheets user sync

Sync roster users from a Google Sheet via service account or public CSV, with optional deactivation of missing rows.

Member details sync

Pull profile and bank details from a second Google Sheet so invoices stay in lockstep with HR data.

All-members & all-overtime

Admins can inspect every member and every OT request, not only their own team.

Everyday product details

The same polish you get inside the app after you sign in.

Light and dark theme

Theme preference is stored locally and applies across login, landing, and both portals.

Status badges

Draft, pending approval, submitted, rejected, received, and paid — each with a clear label.

Sortable, paged tables

Invoices, overtime, members, and logs paginate and sort on mobile-friendly card tables.

Read-only bank block

Payment instructions on the invoice come from the member profile, not a free-text field.

Invoice workflow

From draft to paid in six steps.

The path every monthly invoice follows inside QuickBill.

  1. 01

    Auto-create the draft

Member signs in. A draft invoice is created for the current billing period with profile, rate, and dates pre-filled.

  2. 02

    Attach approved overtime

Pending OT stays off the invoice. Approved hours sync as line items using the member’s OT rate.

  3. 03

    Validate & submit

Completeness checks run. The member confirms accuracy, downloads the PDF, and submits to their approver or Admin.

  4. 04

    Review

Supervisor or Admin opens the PDF, then approves or rejects with a comment. Rejections return to the member as an editable invoice.

  5. 05

    Accounting receives

Approved invoices appear as Received. Accounting exports CSV or bulk PDFs for the period.

  6. 06

    Mark paid

When payment is sent, Accounting marks the invoice Paid. The member’s dashboard and notifications stay in sync.

Portals

The right workspace for each job.

Navigation, data, and actions change with the signed-in role — nobody sees more than they should.

Role model

Access is role-based, not optional.

Each account type is scoped to the work that role actually does.

Member

Own invoices, overtime requests, and profile. Sees only their contracted rate on their invoice.

Approver

OT approval queue and team invoices for direct reports. No access to other members' contract rates.

Accounting

Approved invoices only (Received / Paid). Mark Paid, export CSV, download PDFs. No rates.

Admin

Full access: all invoices and OT, users, company settings, and sheet sync.

Confidentiality

Rates stay locked down.

QuickBill is built for contractor billing where contract rates are not shared across the org.

AES-256-GCM at rest

Base and overtime rates are encrypted in MySQL. Losing the key makes stored rates unreadable.

Confidential access audit log

Every view of confidential contract rates is recorded with who accessed it and from where.

Session & login hardening

CSRF tokens, login throttling, production HTTPS redirect, and tightened session cookies.

Least-privilege portals

Approvers see their team. Accounting sees approved invoices. Members see only their own contract rates.
