Invoice workflow
The path every monthly invoice follows inside QuickBill.
Member signs in. A draft invoice is created for the current billing period with profile, rate, and dates pre-filled.
Pending OT stays off the invoice. Approved hours sync as line items using the member’s OT rate.
Completeness checks run. The member confirms accuracy, downloads the PDF, and submits to their approver or Admin.
Supervisor or Admin opens the PDF, then approves or rejects with a comment. Rejections return to the member as an editable invoice.
Approved invoices appear as Received. Accounting exports CSV or bulk PDFs for the period.
When payment is sent, Accounting marks the invoice Paid. The member’s dashboard and notifications stay in sync.

Confidentiality
QuickBill is built for contractor billing where contract rates are not shared across the org.
Base and overtime rates are encrypted in MySQL. Losing the key makes stored rates unreadable.
Every view of confidential contract rates is recorded with who accessed it and from where.
CSRF tokens, login throttling, production HTTPS redirect, and tightened session cookies.
Approvers see their team. Accounting sees approved invoices. Members see only their own contract rates.
